How to Replace Your Daycare's Paper Sign-In Sheet

The sign-in clipboard by the door is one of the oldest fixtures of a home daycare, and one of the least reliable. Parents arrive in a rush and skip the line. Someone writes 8:00 when it was 8:25. The pen disappears. A busy Monday means you’re backfilling times from memory on Tuesday. And at the end of the month, the sheet with all of that on it goes into a drawer, where it slowly becomes a filing problem.

The clipboard survives because it is fast. Any replacement has to be at least as fast during the 7:30 a.m. rush, or it will not survive its first busy morning. That is the standard this guide holds to: here’s how you replace the paper sheet with something that takes one tap per child and does the timestamps, the math, and the filing on its own.

What this costs you today

The paper sheet’s problems are small individually and constant collectively:

  • Missing and wrong times. Handwritten times are estimates at best. Skipped lines are blanks you cannot reconstruct later.
  • End-of-day math. If you track hours per child, someone is doing arithmetic on handwriting, usually you, usually in the evening.
  • Messy fixes. A wrong entry becomes a cross-out, and a cross-out on an attendance sheet looks worse than the mistake it fixed.
  • Sheets as filing. Every completed week becomes paper you have to store, and a record you can only search by flipping pages.
  • Whole-group days are tedious. A snow day or a stat holiday means writing something on every line, so it often just doesn’t get recorded.

1. Open the weekly attendance grid

2. Check children in and out with a tap

As each child arrives, set their status with a tap. That is the entire morning workflow. The timestamp is recorded automatically at the moment you tap, so nobody is writing “8:00” for an 8:25 arrival, and there are no blanks from skipped lines.

At pickup, do the same to check the child out. CubbyBook calculates the day’s hours for you from the actual timestamps, no evening arithmetic. 3. Handle absences and sick days

The paper sheet only captures who showed up; the blanks are ambiguous. In CubbyBook, a child who is not coming gets an explicit status (Absent, Sick, Vacation, or Statutory holiday), so every cell in the grid means something. When a parent texts “she’s home sick today,” it is one tap to make the record match, and months later the record still distinguishes a sick day from an unexplained blank.

4. Use bulk actions for quiet days and vacations

Two whole-group situations that are tedious on paper are one action here:

  • Snow day or an everyone’s-out day: Mark All Absent marks every actively enrolled child Absent in one tap. It is careful about it, too: anyone already checked in or checked out today is skipped, so a bulk action never overwrites a real attendance record.
  • A family’s vacation: set a start and end date for the child, and every operating day in that range is marked Vacation. A two-week vacation is one entry, not ten cells, and days you are closed are never touched, because they are not in the grid.

5. Fix mistakes with a correction, not an eraser

You will occasionally tap the wrong child or the wrong status. Instead of a cross-out, open the day and choose Correct attendance. The panel shows “Currently recorded” alongside “Will be recorded as,” so you see exactly what the change does before you commit. Pick a reason (accidental tap, wrong child, wrong day, wrong status, wrong time, or other) and choose Apply correction.

The original value is never deleted: it stays in Correction history along with who made the correction, when, and why, and corrected days are flagged wherever they appear. Your record ends up cleaner than paper precisely because fixes are documented instead of scribbled over.

What changes

Mornings stop producing paperwork. The tap you make at the door is the record (timestamped, totalled, and filed), so there is no evening pass to complete times, no month-end math, and no drawer of sheets. When you need to look something up (“what day did Leo start coming Fridays?”), it is a scroll through the grid, not a flip through pages. And when someone asks for the records themselves, they exist in a form you can actually hand over: the Export button on the Attendance screen produces a CSV or PDF for any date range (that part is Pro; see our licensing records guide for the details).

A few honest notes:

Tip: The tap has to happen. Automatic timestamps mean you cannot backdate a live check-in: “Checked in” is today-only, which is exactly what makes the timestamps trustworthy. If you miss a day, the fix is a correction with a reason, not a quiet backfill. Make the tap part of your greeting-at-the-door routine and this never comes up.

Tip: Mark All Absent applies to every actively enrolled child, so use it for genuine whole-group days. For one or two absences, tap those children individually.

Tip: Corrections are visible by design. If you are used to paper, it can feel exposed that fixes leave a trail, but a documented fix is what makes the rest of the record credible.

Common questions

Do parents have to do anything at drop-off?

No. You set the child’s status with a tap as they arrive. The workflow is yours, not the parents’. There is no line at a tablet and no login for families at the door, which keeps drop-off as quick as the clipboard ever was.

What happens to days my daycare is closed?

They do not appear in the grid at all. The weekly view shows only your operating days, so there are no meaningless empty columns, and vacation ranges only mark days you are actually open.

Can I change a check-in time after the fact?

Yes, through a correction: open the day, choose Correct attendance, review “Currently recorded” versus “Will be recorded as,” pick a reason like wrong time, and Apply correction. The original time is preserved in Correction history. The record shows both the fix and the honest trail behind it.

Is digital attendance really free?
